This Privacy Policy explains how TalkingCases ("we", "us") collects, uses, and protects your personal information when you use TalkingCases.ai (the "Service"). It forms part of our Terms of Service.

The Service is an educational study tool. The medical content, simulated patient conversations, and feedback are for learning purposes only and are described in our Legal Disclaimer; they are not medical records.

1. Information We Collect

1.1 Information You Provide

  • Account details: name, email address, username, job role, workplace, and expected exam date.
  • Profile details: title, date of birth, current job, address, and background information you choose to add, plus a profile picture if you upload one.
  • Communications: emails and support requests you send us.

1.2 Information Collected Automatically

  • Usage data: the cases you practise, session history, transcripts and messages from your simulated conversations, performance scores and feedback, ratings, comments, and notes.
  • Technical data: IP address, browser type, and similar information captured in server logs, including records created when you register or pay (used for security and, where relevant, dispute defense).
  • Billing data: credit balances, purchases, and subscription status. Card details are handled by our payment processor (see Section 4); we do not store full card numbers.

2. How We Use Your Information

  • To provide, personalise, and improve the Service and your study experience.
  • To operate billing, credits, and subscriptions, and to process refunds and respond to payment disputes.
  • To generate and deliver your session feedback and performance reviews.
  • To communicate with you about your account, updates, and support.
  • To maintain the security of the Service, prevent fraud and abuse, and comply with legal obligations.

3. Cookies & Similar Technologies

We use only essential cookies required to operate the Service, such as the session cookie that keeps you logged in and the CSRF cookie that helps protect forms. We use Umami for privacy-friendly, cookie-free website analytics, which does not use personal identifiers to track you across other sites.

4. How We Share Information

We do not sell your personal data. We share information only as needed to operate the Service:

  • Payment processing: Stripe processes payments and subscriptions.
  • Authentication: Google, when you choose to sign in with Google.
  • Voice processing: trusted real-time speech providers (for speech-to-text and text-to-speech) process audio to run your simulated conversations.
  • Service providers: email delivery and automation partners that help us operate the Service.
  • Legal & safety: where required by law or to protect our rights, users, or the Service (including responding to payment disputes).

5. Data Retention

We keep your information for as long as your account is active and as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce our agreements. Account and acceptance records are retained to support the audit and dispute-defense purposes described in our Refund & Cancellation Policy.

6. Your Rights & Choices

Depending on where you live, you may have the right to:

  • Access or receive a copy of the personal data we hold about you.
  • Correct inaccurate information.
  • Request deletion of your account and associated data.
  • Withdraw consent or object to certain processing.

7. Security

We use reasonable administrative, technical, and physical safeguards to protect your information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

8. Children's Privacy

The Service is not directed to children under the age of 16, and we do not knowingly collect personal data from them. If you believe a child has provided us with personal data, please contact us so we can delete it.

9. International Data Transfers

Your information may be processed in countries other than your own, including by the third parties listed in Section 4. We take steps to ensure appropriate protection when transferring data internationally.

10. Changes to This Policy

We may update this Privacy Policy from time to time. Changes take effect when posted on this page with an updated "Last Updated" date and version.
